The business had outgrown its software
The company relies on software to manage orders, artwork, customer approvals, invoicing, payroll, commissions, and reporting.
Much of that work was handled through aging FileMaker applications, with QuickBooks used for billing and several additional tools added over the years. Each system served a purpose, but they did not work together particularly well.
Creating a new order required too many steps. Artwork and revisions moved between salespeople, designers, and customers through email. Billing information lived in QuickBooks, while payroll and commission data were tracked elsewhere. Producing an accurate picture of the business often required someone to manually compare information across several systems.
The software was still functioning, but the company had grown beyond what it was originally designed to support.
Rebuilding the most important workflows
Rather than replacing everything at once, we focused on the workflows that were creating the most friction.
Faster order entry
We redesigned the order-entry process to remove unnecessary steps and make the information easier to manage. The team can now create and update orders much more efficiently.
A better artwork process
Artists previously had to track files, revisions, and instructions across sales conversations, internal messages, and email threads. The new system gives them one place to create, manage, and prepare artwork for customers.
Clearer customer approvals
Artwork approvals were often handled through a mixture of emails and phone calls, which made it difficult to confirm what had been approved and when.
Customers can now review and approve artwork through a centralized process. Sales and production staff can also see the current status of each project without searching through past conversations.
Connected financial information
Invoices, payroll, commissions, and reporting now draw from the same underlying information. This has reduced duplicate entry and gives company leadership a clearer, more current view of the business.
The results
The new system has helped the company reclaim hundreds of staff hours previously spent on manual work and repeated data entry.
It has also reduced monthly hosting and server costs by more than $1,000.
Just as importantly, sales, artwork, approvals, and financial reporting now operate through one connected system. Leadership has better visibility into day-to-day operations, and employees spend less time working around limitations in the software.
Where they are now
The team can focus more of its time on customers and production instead of managing workarounds.
Orders move through the company faster, financial information is easier to understand, and employees have a clearer view of what needs to happen next. The software now supports the way the company operates today and gives it room to continue growing.
